Privacy policy
What we collect through this website, why we collect it, how long we keep it and what you can ask us to do about it.
Draft for review. This policy describes accurately what this website does today, but it has not been checked by a solicitor. Have it reviewed before the site goes live, and add your registered business details, your ICO registration if you need one, and your governing-law clause.
Who we are
This website is run by Oxfordshire Monthly, publisher of the Oxfordshire Monthly magazine. For anything about your personal data, write to hello@oxfordshiremonthly.co.uk or to Oxfordshire Monthly, Oxford, Oxfordshire.
What we collect, and when
We only hold what you give us. There is no tracking of visitors who simply read the site.
If you send us an enquiry or contact form
We store your name, email address, telephone number if you give one, and your message, so that we can reply and keep a record of what was agreed. These records are kept for up to two years after our last contact about the matter, or for seven years where they relate to an invoice, because we are required to keep accounting records.
If you submit a business listing
We store the business details you send us, together with your name and email address as the person who submitted it. The business details are published if the listing is approved. Your own name and email address are not published — they are only used to confirm the listing with you.
If you submit an event
We store the event details and the organiser's name and email address. The event details are published if approved. We publish the organiser's email address only if you ask us to.
If you claim a listing
We store your name, email address, telephone number, your stated role at the business and anything you tell us in support of the claim, so that a person can check it. We keep rejected claims for twelve months so that we can recognise a repeat attempt.
If you sign up for the newsletter
We store your email address, your first name and town if you give them, the exact wording of the consent you agreed to, and the date and time you agreed. You can withdraw consent at any time using the unsubscribe link in any email, and we then keep a record that you unsubscribed so that we do not email you again by mistake.
Technical records
Our web server keeps ordinary request logs. To limit how often our forms can be abused we count submissions against a one-way hash of your IP address, not the address itself, and those counters are deleted after a day.
We count clicks on the telephone, website and email buttons on a business listing so that we can tell the business how its listing is performing. Those counts record only the listing, the kind of click and the date — no identifier of any kind, and no cookie.
Analytics and cookies
By default this site loads no analytics and sets no non-essential cookies. If we switch analytics on, you will be asked first, nothing will load until you agree, and you can decline. See our cookie policy for the detail.
Who we share it with
Nobody, except:
- an enquiry you send to a specific business is passed to that business — that is the purpose of the form;
- our email provider, which handles the message in transit;
- our hosting provider, which stores the site and its database;
- the authorities, where we are required by law to disclose something.
We do not sell personal data, and we do not pass addresses to other advertisers.
Where it is stored
The website database is held on our hosting provider's servers. If any supplier we use stores data outside the UK or the European Economic Area, we rely on the safeguards in the UK GDPR for that transfer.
Your rights
Under UK data protection law you can ask us to:
- tell you what we hold about you, and give you a copy;
- correct anything that is wrong;
- delete what we hold, where we have no continuing reason to keep it;
- stop using it for a particular purpose, including marketing;
- provide it in a portable form.
Write to hello@oxfordshiremonthly.co.uk and we will reply within one month. If you are not satisfied you can complain to the Information Commissioner's Office at ico.org.uk.
Our lawful bases
- Consent for the newsletter. You can withdraw it at any time.
- Legitimate interests for answering enquiries, checking listing claims and preventing abuse of our forms.
- Contract where you have bought advertising from us.
- Legal obligation for keeping accounting records.
Changes
If we change this policy we will change the date below and, if the change is significant, say so on the homepage.
